Email archiving offers many benefits to organizations looking to free up server space and enhance email capabilities, which is why Apptix is now offering Sonian email archiving as part of its cloud portfolio.
"As we’ve seen a recent spike in the amount of companies investing in hosted services, it’s clear this is a very hot market in the technology industry," said Jeff Dickerson, CEO and president of Sonian.
Email archiving allows users to store emails on a separate server, often within the cloud, without having to delete them. Deletion can pose legal problems later on regarding ediscovery. Because of email's popularity and use in enterprises, messages often contain valuable and useful information. In email archiving, messages can be accessed at a later date without taking up precious server space.
According to the Register, Ian Berdsey of law firm Pinsent Masons believes enterprises should keep emails stored for at least six years so that they can deal with ediscovery requests and other issues that may arise. Berdsey said that six years is a standard amount of time for contract claims.
The news source reported that corporations need to have email archiving solutions, as many don't currently have email back up lines.
Andrew Shelling of Pinsent Masons said that IT departments should encourage their employees to carefully organize their personal emails into folders so that they can be exempted in later searches.
"Organizations can make their life so much easier if they have an IT policy in place which requires individuals to place personal information in private folders," Shelling said. "This folder, marked 'personal,' could be excluded from the harvesting process, and is thus a further tool that can be used to reduce the volume of documents that need to be processed and reviewed."
The issues outlined by the news source show why Apptix is adding email archiving to their cloud-based services.
"Robust email archiving capabilities are increasingly critical for businesses of all sizes," said David Ehrhardt, president and CEO of Apptix. "Often, email is the primary means of communication between a business and its customers or partners, and securely storing those communications is critical for keeping records and maintaining productivity."
Ehrhardt said that Sonian's email archiving solution would enhance the current Apptix portfolio. Clients looking to deploy an email archiving solution should do so soon, so as to not lose valuable emails or space on their servers.
